A candidate for this position should be a motivated and driven administrative professional with a high attention to detail, who enjoys maintaining a very organized work environment and have well developed time management skills.

Reporting to the Senior Financial Coordinator, Financial Admin Support Team (FAST), this position provides support to the FAST, CCE, Financial Coordinators (FC) team and the Research Centres in Industry Solutions. Specifically, this position will work directly with the FC team and support facilitating all activities in the Centre by assisting, tracking, managing and finalizing administrative details and preparing internal and external reports. Our successful candidate will provide the FC and Research Centre team with the necessary administrative support. This position is critical to supporting the successful growth of Industry Solutions.

Key Responsibilities:

  • Initiates project code activation and closures for projects in the system

  • Updates all supporting systems and other documents with new project codes and pertinent information

  • Assists with journal entries with appropriate backup documentation and working papers

  • Supports in analysis and preparation of critical month-end activities

  • Set up and organize the filing management system for all active and inactive projects including filing agreements

  • Entering pertinent information to the Research Administration Module (RAM) database with post-award information

  • Prepare requests for invoices according to research agreements

  • Assists with purchase requisitions according to quotes and align with research agreements

  • Organizing and updating task management tools

  • Support the FC team with forecasting and budgeting

  • Assisting in special projects within the FAST

  • Other administrative tasks as required


Skills & Abilities:

  • A strong customer service focus, excellent interpersonal and communication skills, and the ability to work in a fast-paced environment and meet deadlines are essential

  • Highly organized and responsive, keen attention to detail


Qualifications:

  • Accounting, Finance, or Business Diploma preferred, a related certificate with significant related experience

  • 1-3 years of related experience

  • Microsoft Excel skills required; PeopleSoft Finance experience would be an asset

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $49,886.20 - $58,142.24 annually, plus a comprehensive benefits package. (Classification - Finance/Accounting Assistant I).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
