Job Summary
The Business Systems and Project Lead is responsible for establishing plans and leading the organizational design of systems, processes, and communications that directly influence a student's experience at CNC. The Lead directs, develops, facilitates, and implements enrolment projects and improvements while ensuring a student-centred approach that is tailored to the best possible experience for students. The incumbent acts as a liaison by providing specialized knowledge of enrolment systems, processes, and communications to the College administrators, staff and students. The leadership of this position is integral to the institution's strategic enrolment management plan that includes enrolment planning and fiscal sustainability.
Specific Duties
• Leads business improvements and provides project management leadership for enrolment-related systems, processes and communications. This work involves liaising with administrators, faculty and staff from all areas of the College.
• Leads campus-wide modernization projects directly impacting students, staff, and faculty, including the implementation of self-service technologies and related processes using established business process, project, and change management principles and tools.
• Collaborates with - and provides expertise to - other process improvement champions across the college in support of a campus-wide culture of continuous improvement.
• Oversees the development and maintenance of process documentation and training resources for all areas, and supports team members in building capacity in being technically proficient.
• Supports the Manager, Continuing Education, Registrar and Associate Registrar in developing and maintaining a high level of business process and system knowledge to effectively deliver student-centered and solution-oriented consulting to college leadership, Deans, and campus-wide stakeholders.
• Practices sound project management methodologies in accordance with Project Management Institute (PMI) standards and guidelines.
• In collaboration with Institutional Research provides leadership, training and direction to stakeholders across the college to validate and improve data collection, data standards, data integrity, course and exam scheduling, reporting, and general problem solving.
• Serves as an interface between the Continuing Education, Office of the Registrar, Finance and Information Technology Services (ITS), and works closely with ITS on projects related to Ellucian Enterprise Resource Planning (ERP)/Student Information System (SIS) products (e.g. Colleague, Document Management, Workflow, Self Service, Student Planning, Experience), SQL reporting, Customer Relationship Management (CRM), AI Chatbot, Text Messaging, XML data interchange, and provincial application systems, ensuring peak optimization and utilization of systems and platforms.
• Oversees fees and ensures systems are accurately calculating appropriate amounts to students.
• Stays current with systems and management practices, new technologies, and software development through self-directed study and by maintaining relationships with colleagues at other institutions. Maintains a working knowledge of current Colleague releases, defects, upgrades, and enhancements that may affect or be related to student business system/processes.
• Participates in committees, associations, and organizations both internal and external to the college (including Ellucian Colleague-based peer institutions) to keep informed about current trends and provincial/federal requirements.
• Assesses, coaches, and provides constructive feedback to teams and individuals across the College to strengthen system utilization, data management, business process, and project management competencies.
• Employs Strategic Enrolment Management principles in communications
• Develops and maintains communication plans that complement enrolment plans and ensure consistent voice and calls to action, while observing CNC approved branding guidelines.
• Develops strategies for the collection of communication metrics and tracks, monitors, and reports on activities to achieve the goals and objectives of the College.
• Seeks out best practices and innovative models of communication for implementation.
• Ensures that all team members are thoroughly familiar with the policies, protocols, and procedures that guide the work of the units within the Office of the Registrar, Continuing Education and beyond.
• Attends meetings & participates on committees as assigned by the Manager, Continuing Education.
• Promotes a positive work atmosphere by interacting and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
• Engages as part of a team in contributing to and accomplishing the vision, mission, and goals of the College and in supporting the aspirations and needs of our learners.
• Performs other related duties as assigned.
Skills & Qualifications
• Bachelor's degree (or higher) specializing in Business, Information Systems or other related field
• Project Management Professional Certification preferred
• 5 years or more of recent related work experience within a Post Secondary Institution, which includes experience managing projects. An equivalent combination of education and experience may be considered

• Expert knowledge of post-secondary operations, program offerings, and admission/registration policies and procedures.
• Leadership skills and capabilities that include: initiative, sound decision-making, persistence in the face of obstacles, creativity, resourcefulness, resiliency, and a willingness to accept responsibility and be accountable for results.
• Able to effectively synthesize data to streamline complex processes.
• Policy development, application, and administration knowledge and experience.
• Strong technical aptitude and curiosity; able to quickly learn new platforms and tools.
• Expert computer skills, including ERP/SIS products (preferably Colleague), CRM products, word processing (MS Word), spreadsheets (MS Excel) and proficiency in using database software (MS Access/Project) and data/process mapping software (MS Visio).
• Exemplary interpersonal skills across a diverse range of people and situations.
• Public speaking experience and the ability to share technical and functional knowledge with co-workers, and to communicate in a clear and instructive manner.
• Demonstrated work ethic for successful management of multiple short-term and long-term projects, independent completion of projects with accuracy, thoroughness and creativity, and timely meeting of deadlines under pressure.
• Ability to work under pressure and stay calm in the face of competing demands.
• Ability to maintain confidentiality and privacy requirements with regard to the position and to student information.
• Project Management skills and experience.
• A high degree and attention to details, and system integration across the organization.
• Perform problem-solving planning and implementation practices.
• Ability to analyze and understand process mapping as a method of visualizing an ongoing process.
