Detailed Overview

Under general supervision of the Manager, Clinical Services, schedules and books out-patient appointments for services provided by the Maternal Program and produces statistical reports and correspondence for the department. Performs admitting duties such as collecting patient information and completing required documentation. Performs unit clerk duties such as setting up, maintaining and filing patient charts and processing physicians' orders. Performs receptionist and clerical support duties as required.
Responsibilities

  1. Schedules and books out-patient appointments for procedures performed in the Perinatal clinic area such as ultrasounds, prenatal examinations, amniocentesis, diabetes education, and for procedures in other areas of the hospital such as obstetrical non-stress testing, obstetrical out-patients and laboratory. Books follow-up appointments and adjusts arrangements in accordance with patient and facility requirements.
  2. Gathers new patient information relevant to the booking and pre-registration process.
  3. Confirms bookings and scheduled times with Perinatal clinics and physician's offices.
  4. Prepares and distributes the appointment slate according to established guidelines.
  5. Processes physicians orders, such as requests for x-rays, blood work and medication, by performing duties such as completing requisitions and liaising with the appropriate units and departments to make arrangements, in accordance with established procedures.
  6. Types, photocopies and distributes a variety of correspondence such as letters, memos, reports and monthly statistics.
  7. Acts as receptionist; answers the telephone; takes and transmits messages; greets and directs visitors and patients to appropriate locations for appointments. Informs appropriate staff of patient arrival.
  8. Maintains the department office supplies and prepares requisitions for signature.
  9. Performs clerical duties such as collecting and reporting unit statistics, typing, filing, and preparing equipment repair/maintenance requisitions for signature.
  10. Sets up, maintains, completes and files patient charts by performing duties such as assembling and addressographing new charts, recording information in charts as directed, attaching documents, ensuring documents are filed in the correct order and forwarding to Health Records as required.
  11. Records timekeeping data and prepares timesheets as directed by the Nurse Manager.
  12. Participates in Continuous Quality Improvement Programs as directed.
  13. Performs other related duties as required.

Qualifications

Education and Experience

Grade 12, medical terminology and graduation from a recognized Nursing Unit Clerk program plus one year's recent, related experience or an equivalent combination of education, training and experience.

  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
  • Ability to keyboard at 40 w.p.m.
  • Ability to organize work.
  • Ability to operate related equipment.
  • Ability to utilize a variety a computer software applications.
