Who you are?
The Medical Education Administrative Coordinator is integral to the delivery of the university programs; they must maintain a thorough knowledge of site, departmental, facility, faculty, university and national associations' policies and procedures ensuring that the accreditation requirements are met. This person will work collaboratively with all medical education staff and learners to ensure success of all undergraduate and postgraduate programs. This may involve cross coverage with other administrative staff.
Experience (1-3 years) in academic program activities in a university environment; graduation from high school supplemented by university courses in business administration or a related field; or any equivalent combination of experience and training. Knowledge of Microsoft Office is required.
- Minute-taking and meeting support and coordination experience is required.
- Experience working with students and/or in a learning environment is required.
- Flexibility in time is required to meet the duties of this position.
- Ability to communicate effectively both oral and written is require.
- Ability to communicate information to small and large groups.
- Able to create and maintain working relationships with internal and external partners, agencies, and universities.
- Ability to work independently with little or no supervision.
- Able to work well with others in a team environment.

What will you do?
Reports to the HHN Regional Manager, Medical Education New Brunswick. The person is responsible to:
- Moncton Site Coordinator
- MUN Assistant Dean, NB
- MUN Site Director, Moncton
- Family Medicine Site Director
- Local and Regional Medical Education Leadership
Primary Responsibilities
- Receive, view, and circulate communications to appropriate faculty and learners as required.
- Collaborate with Medical Education Office colleagues and respective departments to schedule training for undergraduate Memorial University learners.
- Ensure department orientation materials and packages are reviewed, updated and available to the learners when required.
- Develop reports as requested, on student, faculty, and departmental participation.
- Coordinates scheduling of Practice-Based Small Group Learning Sessions, FM Rounds, didactic teaching sessions, simulation and other education sessions as required. Uploads materials on One-45 (web-based education tool), distributes materials, circulates notices and maintains record of attendance.
- Maintains database of trainees including attendance data using One-45 web-based evaluation system as well as other university systems.
Secondary Responsibilities
- Maintains administrative and academic calendar as required.
- Locates and compiles information and formats reports, graphs, tables, records and other sources of information for curriculum tracking.
- Performs routine office procedures; photocopies, faxes, receives and relays messages; files require for information; receives and directs visitors; documents complaints.
- Exchanges routine information in an appropriate manner requiring good oral and written communication skills.
- Administer NBME or other required examinations.
- Coordinates room bookings, meals services, speakers, accommodations, audio-visual aides, and invitations for education sessions as instructed.
- Responsible for ordering office supplies as needed.
- Ensure learner call schedules are posted as required.
- Prepares and circulates agendas, reports, and necessary documents at all committee levels including ad hoc and working committees including: Medical Education Office Meetings, Family Medicine Cabinet Meeting, Curriculum Meeting, Ad Hoc and Working Committees as required.
- Records and transcribes accurate minutes of proceedings.
