JOB SUMMARY

Reporting to the Director, Operations, the Asset Management Coordinator will play a crucial role in supporting the development, implementation and continuous improvement of the City's Corporate Asset Management program representing the Operations department. The Asset Management Coordinator will act as a Subject Matter Expert collaborating with the Corporate Asset Management office and providing expertise and guidance on AM best practices to the department. The AM Coordinator will have the opportunity to work on diverse and interesting projects and change management initiatives, including but not limited to supporting asset management policy, strategy and plan development and implementation; data analysis, management and forecasting, service delivery planning and optimization, and the implementation and management of information and decision support systems and software. KEY DUTIES AND RESPONSIBILITIES

  • Acts as a Subject Matter Expert resource for asset management related activities for the Operations Department. Actively supports, facilitates, participates and provides input to the department unit managers, corporate committees, staff and industry networks, implementation teams and projects.
  • In partnership with the Corporate Asset Management Office, leads, facilitates or participates in projects or work programs that develop improvement recommendations or products for the department that support the City's asset management objectives, including changes to organizational structure (position responsibilities and functions), data management and systems, processes, decision making practices and documentation. Uses change management principles to support departments with the implementation of changes as required.
  • Develops, monitors, updates and maintains a variety of statistical and performance-based datasets, key performance indicator and metrics that support re-occurring operational, project and regulatory business and reporting requirements for a variety disciplines within the Operations department ranging from and not limited to the City's Asset Management Steering Committee, the Corporate Asset Management Office other public sector and industry-based agencies, and provincial and federal levels of government.
  • Develops, updates, maintains and/or supports and participates in the development of sophisticated computational models and/or technology-based systems, and applies expert judgement to develop strategies and performance outcomes based on different scenarios, for a wide variety of asset management related analysis and decision support activities.
  • Develops content for and supports the delivery of training and change management related activities.
  • Assists to identify, prioritize and project plan areas within the department which should be considered for future asset management improvement activities.
  • Continuously updates current knowledge of legislative and industry changes, best practices and competencies, including self. Assesses and informs on potential influence and/or impact to current asset management policies, strategies, plans, people and financial resources, processes and practices.
  • Documents the asset management system and project related activities in accordance with industry best practice and methodologies, policies, processes and procedures, as well as regulatory and legislative requirements.
  • Develops project specifications, participates in the procurement process including Request for Proposal evaluations, assists the delivery of assigned in-house and consulted projects.
  • Monitors project/activity trends and reports progress through detailed plans and schedules. Reports activity status and trending for on/off scope, quality, budget and/or schedule.
  • Assists the Director to develop a variety of reports, briefings and presentations as required.
  • Performs other duties as assigned.

REQUIRED SKILLS & COMPETENCIES

  • Bachelors degree or college diploma in any of the following areas; Asset Management, Engineering, Finance, Business or Geographic Information Systems (GIS) or other relevant fields.
  • Professional designation, registered in Ontario (preferred), commensurate with level of education and field of study such as a Professional Engineer (P. Eng.), Certified Engineering Technologist (C.E.T.), Certified Engineering Technician (C.T.), Chartered Accountant, etc., is preferred.
  • Asset Management Certificate/Certification, is preferred.
  • Project Management Professional (PMP) is an asset
  • Minimum 3-5 years' experience practicing Asset Management or Financial Business/Data Analytical
  • Advanced computer skills and familiarity in the relevant software systems such as EAM, customer Service and Work Order systems, database management & query tools, GIS, MS Office suite, SharePoint, Power BI.
  • Excellent analytical and project management skills.
  • Demonstrated experience leading and motivating people.
  • Excellent verbal and written communication and presentation skills with the ability to articulate messages clearly and effectively to a variety of audiences.
  • A valid Class "G" driver's license in good standing and a reliable vehicle for use to conduct corporate business.
