JOB SUMMARY

Enthusiastic and team-oriented, the Summer Customer Services Assistant provides back-up to regular full-time staff in efficient customer service and administrative support to the Clerk's Office, Legislative Services Department. Responsibilities include: providing customer service at the Clerk's Office counter; responding to internal and external telephone inquires and emails; booking the wedding chapel and wedding room (once it is open); processing marriage licences; processing filming permit requests; assisting with print/mail services; assisting with administrative support for elections, claims and secretariat services; and performing general office duties as assigned.

RESPONSIBILITIES

  • Respond to customer inquiries at the counter, by telephone, and e-mail;
  • Review and process marriage licence applications for signature by Clerk's Department Staff;
  • Review process and issue wedding photo permits in accordance with established procedures;
  • Provide re-direction to the public as to the department responsible for their queries/concerns;
  • Assist in coordination the booking of Civic Centre meeting rooms (once open) for the internal and the Wedding Chapel in accordance with established procedures;
  • Assist with booking appointments for Commissioner of Oath
  • Assisting with print/mail services, including internal and external mail delivery, assistance with production of print materials;
  • Assisting with administrative support with secretariat services including the preparation of documents and files; and
  • Other administrative tasks, as assigned.

SKILLS & ABILITIES

  • Previous customer service experience and interest in civil services preferred
  • Good verbal and written communications skills
  • Proficiency with MS Office (MS Word, MS Excel, MS Access, MS PowerPoint)
  • Valid Ontario G Driver's Licence required with a satisfactory drivers abstract (0 demerit points, no more than 1 moving violation and no more than 1 non-moving violation)
  • College or University Student Preferred
