Job Summary

The City of Mississauga is seeking a legal assistant to join its Municipal Law Section, Legal Services Division, to provide legal administrative support. You will conduct legal searches, and prepare reports, legal documentation and correspondence.

The City of Mississauga's Legal Services Division is a full-service law department that handles a wide variety of interesting and rewarding files that directly impact the way people live, work and play in Mississauga.

Duties and Responsibilities

Reporting to the Deputy City Solicitor, Municipal Law, the successful candidate will:
• Create databases, maintain templates, draft letters, reports, memos, legal documents and correspondence
• Perform all electronic and hard copy filing, maintain electronic filing system and update hard copy lists
• Conduct electronic title searches and corporate searches
• Prepare and draft corporate reports, by-laws and other documents, utilizing precedents and information provided by the instructing lawyer(s)
• Maintain electronic calendars, schedule conferences, courses, and communicate meeting dates and locations
• Update and maintain records of outside legal fees paid, budget, external invoices and other billing matters for legal services and process appropriate payments
• Comply with relevant City policies
• Provide ad hoc assistance on projects/initiatives within the unit/team
• Use information that is stored within the unit/team and/or available without special authorization; and
• Perform other duties as assigned.

Skills and Qualifications

• Successful completion of a post-secondary legal office administration or legal assistant program
• Minimum 3 years of legal administrative experience
• Proficiency with MS Office applications (Word, Excel, PowerPoint, Outlook), electronic document management/filing system (e.g. iManage) and Adobe
• Excellent organizational and time management skills, including ability to set priorities, meet deadlines, deal with conflicting priorities and work demands
• Excellent interpersonal skills with the ability to communicate effectively, both orally and in writing
• Demonstrates concern for accuracy and pays attention to detail
• Ability to exercise independent judgement, diplomacy, confidentiality and discretion in dealing with legal matters
• Working knowledge of legal terminology, procedures and statutes
• Experience in municipal law will be considered an asset
• May require some light lifting of supplies/materials
• Prolonged exposure to computer keyboards and screens. Primarily office environment

Hourly Rate/Salary: $32.39-$43.18 (Salary Grade C $58,942 - $78,592)
