Responsibilities

The Procurement Coordinator is responsible for working on a multitude of procurement projects ranging from tendering, contract management review, data record management and other supply chain activities, insurance and risk activities associated with university procurements. Reporting to the Manager of Procurement and Contracts, the successful candidate will:

Procurement Responsibilities

  • Support procurement processes such as including but not limited to: contracts, RFx, quotations and various reports, and contracts as assigned;
  • Oversee small phases of projects independently as required ensuring completion;
  • Coordinate with various contractors and suppliers to ensure services and supplies to support operations and expedite services as necessary;
  • Analyze data and information to determine quality and supply of service by contractors; search out new supply, and pricing options for the university community;
  • Assist in the drafting and preparing scopes of work, deliverables, evaluation methodology for procurement of goods, services, consultants and construction in accordance with applicable laws and policies and procedures minimizing procurement risk throughout process, purchase of goods and services initiated by various groups, at the best quality, delivery, service and value;
  • Assist in posting Tenders, RFPs, RFQs and Addenda on the MERX and Bonfire web sites to solicit requirements through formal written quotations from suppliers as per the Policy on Purchasing, Broader Public Sector Procurement Directives, Canadian Free Trade Agreement (CFTA) and Canada, European Union Comprehensive Economic and Trade Agreement (CETA);
  • Track and ensure contracts renewals, lapses and amendments;
  • Generate purchase orders based on purchase requisitions for approval;
  • Review Commercial Card expense reports and as required contact departments regarding expenses made and contact departments as required;
  • Generate reports as required including but not limited to: status of open purchase requisitions and orders and procurement activity reporting;
  • Provide guidance and support for university community for the various corporate plans (i.e. Bell, Purolator, Thompson Ahern, Linde Canada);
  • Provide customs brokerage advice and clearance verifications for the university;
  • Provide quotes, information, and recommendations on transportation and courier services for the Laurentian community;
  • Add, update and change supplier information in the Ellucian system;
  • Reviews information to make recommendations, update and assist with maintenance of processes and procedures;
  • Plan, coordinate and organize projects, events, training sessions, meetings, and site visits;
  • Other duties as assigned.

Qualifications

  • University degree four (4) years in a business or related discipline;
  • One (1) to three (3) years' experience in a Broader Public Sector educational environment;
  • Direct experience in Procurement, Risk and Insurance is preferred;
  • Two (2) to three (3) years of related experience in procurement, supply chain, logistics and transportation
  • Supply chain management courses in progress would be an asset;
  • Comprehension of University Policy on Purchasing, other University policies and procedures, Broader Public Sector Procurement Directives, Canadian Free Trade Agreement (CFTA) and Canada-European Union Comprehensive Economic and Trade Agreement (CETA) would be an asset;
  • Experience in working in a diverse environment where a high degree of collaboration is required;
  • Well-developed organizational, time management, prioritization and accuracy skills with the ability to produce under pressure;
  • Excellent communication and interpersonal skills with the ability to develop and maintain relationships, networks and partnerships within the university and externally;
  • Excellent negotiation skills;
  • Excellent conflict resolution skills;
  • Proficient use of Ellucian, Microsoft Office products, G Suite, Adobe Acrobat Pro.
  • Ability to work fluently, orally and in writing, in both official languages, French and English.

The official University hours of operation shall be from 9:00 a.m. to 4:30 p.m., Monday through Friday, during, and including, the months from September to April, and from 8:30 a.m. to 4:00 p.m Monday through Friday during and including May to August., amounting to thirty-three and three-quarter (33.75) hours per week.
