Wage range: $24.10 - $30.12 per hour (To commensurate with experience and consistent with UHN Compensation Policy)
Hours: 35 hours per Week
Status: Temporary Full Time (1 year contract)

Job Summary

UHN Bio-specimen Services Program is a centralized, large-scale bio-specimen storage and sample information management group. It serves University Health Network and regional research institutions by providing a central location for access to high-quality samples in order to drive novel research for the understanding, detection, prevention and ultimately the cure of cancer and other diseases.

The principle responsibilities of the Administrative Assistant II include calendar management of the Director and efficient coordination, organization and scheduling of meetings, webinars and teleconferences including generating agendas and recording accurate minutes; collecting and compiling various project information as required; assisting with data entry; accurate tracking and submission of payroll; other related administrative duties, as assigned by the Director or Lab Manager.

Duties

  • Maintaining written and/or electronic calendar/schedules
  • Providing support to small for small/medium and/or informal meetings/events, which may include venue, catering, speaker communication and travel arrangements
  • Performing routine budgetary support functions, including expense reimbursement and credit card reconciliation
  • Maintaining written and/or electronic calendar/schedules
  • Bi-weekly payroll preparation and staff vacation/sick time tracking
  • Technology and device tracking/assisting with UHN DIGITAL requests
  • Provision/tracking of documents as part of onboarding new employees
  • Ensuring the efficient operation of the Department

Qualifications

  • Completion of Grade XII (12) or recognized equivalent
  • Completion of a recognized medical or business post-secondary secretarial arts program at the diploma level as asset
  • Two to three (2-3) years related administrative support experience
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience
  • Experience in a Microsoft Office environment
  • Experience working in a health care environment, an asset
  • Strong organizational, time management and prioritization skills
