POSITION OVERVIEW

The Vector Institute is seeking a Program Coordinator, Academic Partnerships (Contract) to join our team in Toronto. Reporting to the Director, Academic Partnerships, the Program Coordinator, Academic Partnerships is a key contributor to the team's targeted initiatives to develop future generations of top AI talent. During this 14-month contract, you will develop and streamline processes and perform administrative and business functions to support the Academic Partnerships team and its programs.

KEY RESPONSIBILITIES

  • Build strong connections with graduate students in Vector-recognized master's programs and AI researchers, promoting programming and resources offered at Vector through initiatives such as orientation presentations, attendance at student-facing events, conferences, etc.

  • Coordinate satellite/outreach events across Ontario to connect with Faculty Affiliates, graduate students, Postdoctoral Fellows, and alumni in different communities.

  • Provide support for career and recruitment programming for AI students.

  • Work with undergraduate AI clubs across the province to support student initiatives, such as conference sponsorships, securing speakers for club events etc.

  • In partnership with the Events Team, develop and build on events to bring together and showcase the strength of the research community such as research talks, workshops, an annual research symposium, graduate visit day, and the Deep Learning and Reinforcement Learning Summer School.

  • Support the implementation and ongoing improvement of multiple programs that contribute to the advancement of the Vector Institute's Al research agenda.

  • Help establish an alumni program to connect a growing cadre of alumni to Vector programs.

  • Perform various coordination tasks e.g., scheduling meetings, supporting committee work, taking minutes, following up on action items to ensure their completion.

  • Other related duties as assigned.

  • A strong, growing, and engaged student and alumni network;

  • Top of mind awareness of Vector's student and researcher programming;

  • Excellent relationships with university student clubs and other organizations;

  • Well-executed programming with strong stakeholder management and service delivery; and,

  • A productive relationship management with the researcher community.

PROFILE OF IDEAL CANDIDATE

  • College diploma in a related field, or equivalent work experience in a college/ university setting or related field.

  • Highly organized with strong time management and multi-tasking abilities.

  • Motivated to thrive in a fast-paced environment while working with various stakeholders, including staff, students, alumni, and academics.

  • Action-oriented, with the ability to take direction and translate it into actionable results.

  • Experienced in supporting the planning and coordination of both small and large events.

  • Excellent verbal and written communication skills in English.

  • Proficient in GSuite or Microsoft Suite applications (especially Excel for data manipulation and visualization), Mailchimp, Eventbrite, Canva, WordPress, Adobe Illustrator, and Zapier.

  • Detail-oriented with a strong sense for design and data presentation, particularly in creating charts and graphs.

  • Creative and collaborative, with a preference for working in a small, entrepreneurial, and results-driven environment.

  • Positive attitude with integrity, tactfulness, a sense of humor, and a commitment to contributing positively to a not-for-profit corporate culture.

  • Passionate about advancing Canada's leadership in global AI research.
