What can I expect to do in this role?

In this role, you will:

• respond to general enquiries from clients and the general public, and redirect incoming calls appropriately
• welcome visitors, determine the nature of their business and direct them to the appropriate staff member
• coordinate pickups and deliveries, including mail, legal documents and Purolator packages
• receive and check all legal documents that are being served to the OCL
• track and accurately record all incoming packages on an Excel spreadsheet
• provide back-up clerical support, schedule boardrooms and audio conferencing and update various documents including staff telephone list and floor plan
• provide general administrative duties including routine word processing, and data entry service
• attend meetings with administrative staff and participate in special projects

How do I qualify?

Mandatory:

• You are proficient in English and have an advanced level of French, both oral and written.

Communication and Interpersonal Skills:

• You demonstrate good oral and written communication as well as interpersonal skills to answer general inquiries about the office, it's programs and its requirements.

Customer Service Skills:

• You demonstrate tact, discretion and strong customer service skills to provide appropriate information and explanations with sensitivity and confidentiality.
• You have the ability to remain calm when dealing with irate callers.

Organizational and Team Work Skills:

• You demonstrate the ability to handle concurrent activities, multi-task and prioritize your own work.
• You can provide timely support for co-workers.

Technical Skills:

• You demonstrate knowledge of office and general clerical practices in order to admit service for legal documents and provide information to callers.
• You demonstrate the ability to use common office equipment (i.e. multi-telephone line, fax, computer printer and photocopier).
• You demonstrate knowledge of Microsoft Office Suite, including Word, Excel, Outlook, and case management system/data base software.
